Questions to ask your wedding venue!
Choosing the right wedding venue is one of the most important decisions you’ll make when planning your wedding. To help you make an informed decision, it’s important to ask potential wedding venues the right questions. As a professional Wedding Planner, here are some key questions I recommend you ask when considering a wedding venue:
What is your availability?
Before you get into the details of the venue, you need to know whether it is available on the dates you need. Make sure to ask the venue about its availability for the time of year you’re planning to get married, as well as the specific date and time you have in mind.
How many guests can the venue accommodate?
It’s important to have a good idea of how many guests the venue can accommodate. You’ll need to consider the size of your guest list and the space needed for your ceremony and reception. Make sure to ask about the maximum capacity of the venue and whether that capacity includes space for the dance floor, bar, and other important elements of your wedding.
What is included in the rental fee?
Wedding venues can have a wide range of rental fees and inclusions, so it’s important to understand exactly what is included in the fee. Ask the venue about what’s included in the rental fee, such as tables, chairs, linens, lighting, and sound equipment. Additionally, ask about any additional fees, such as corkage fees or service charges.
Can we bring in outside vendors?
Some venues may have restrictions on outside vendors, while others may require that you use their in-house vendors. It’s important to understand the venue’s policies on outside vendors, including caterers, florists, and photographers. If you have specific vendors in mind, make sure to confirm that they are allowed to work at the venue.
What is the backup plan for inclement weather?
No one wants to think about bad weather on their wedding day, but it’s important to have a backup plan in case of rain, snow, or extreme heat. Ask the venue about its policies for inclement weather, including whether there is an indoor backup plan, and how the venue will handle any necessary changes.
Is there on-site parking available?
Parking can be a major concern for wedding guests, so it’s important to ask the venue about its parking situation. Make sure to ask about the number of parking spots available, whether parking is included in the rental fee, and whether the venue offers valet parking.
What is the noise policy for the venue?
If you’re planning to have music or a DJ at your wedding, it’s important to understand the venue’s noise policy. Some venues may have restrictions on the volume or hours of music, while others may not allow amplified music at all. Make sure to ask about the venue’s noise policy and whether it will impact your plans for the reception.
What is the deposit and cancellation policy?
Understanding the deposit and cancellation policy is essential when booking a wedding venue. Make sure to ask about the deposit amount, when it is due, and whether it is refundable. Additionally, ask about the cancellation policy, including whether there is a deadline for cancellations and whether there are any penalties for canceling.
Can we see the venue set up for a wedding?
If possible, try to schedule a visit to the venue when it’s set up for a wedding. This will give you a better sense of how the space will look and feel on your wedding day. Ask the venue if they can provide you with photos or videos
Ask about what is included in the rental, such as tables, chairs, linens, and other important items. Also, find out if there are any additional costs, such as fees for using the sound system or extra lighting.
What is the catering policy?
Food and drink are an important part of any wedding, and most venues have specific catering policies. Find out if the venue has an in-house caterer or if you’re free to choose your own. If the venue has an in-house caterer, ask to see the menu and whether they can accommodate dietary restrictions or specific requests.
What is the alcohol policy?
If you plan on serving alcohol at your wedding, it’s important to understand the venue’s alcohol policy. Find out if the venue has an alcohol license, and whether you’re allowed to bring in your own alcohol. Additionally, ask about any restrictions on the type of alcohol allowed, and whether the venue provides bartenders.
What is the backup plan for inclement weather?
Even if you’re planning an indoor wedding, it’s always a good idea to have a backup plan in case of inclement weather. Ask the venue what their plan is in case of rain or snow, and whether they have indoor options available. It’s also important to ask about any additional costs or fees associated with a backup plan.
Are there any restrictions on decorations?
Decorations can add a personal touch to your wedding, but it’s important to understand the venue’s restrictions on decor. Ask whether the venue has any rules about hanging decorations or bringing in your own decor. Additionally, find out if there are any restrictions on candles or other potentially hazardous decor.
What is the timeline for setup and cleanup?
Knowing the timeline for setup and cleanup is important for planning your wedding day. Ask the venue when you’re allowed to access the space to set up, and when everything needs to be cleared out. Additionally, find out if the venue provides any setup or cleanup services, and whether there are any additional fees associated with them.
What is the venue’s accessibility?
It’s important to make sure that all of your guests can access the wedding venue. Ask the venue about accessibility options for guests with disabilities, such as wheelchair ramps or handicap parking spaces. Additionally, find out if there are any stairs or other obstacles that may be difficult for guests to navigate.
What is the venue’s policy on photography and videography?
Capturing memories of your wedding day is important, so it’s important to understand the venue’s policies on photography and videography. Ask whether there are any restrictions on where you’re allowed to take photos or whether there are any extra fees for professional photography or videography.
Choosing a wedding venue can be a challenging process, but asking the right questions can help you make an informed decision. By asking about availability, capacity, rental inclusions, vendor policies, inclement weather backup plans, parking, noise policies, deposit and cancellation policies, catering and alcohol policies, decorations, setup and cleanup timelines, accessibility, and photography and videography policies, you can ensure that you choose the perfect wedding venue for your special day.
