Choosing the right wedding venue is one of the most important decisions you’ll make when planning your wedding. To help you make an informed decision, it’s important to ask potential wedding venues the right questions. As a professional Wedding Planner, here are some key questions I recommend you ask when considering a wedding venue:

 

What is your availability?

Before you get into the details of the venue, you need to know whether it is available on the dates you need. Make sure to ask the venue about its availability for the time of year you’re planning to get married, as well as the specific date and time you have in mind.

How many guests can the venue accommodate?

It’s important to have a good idea of how many guests the venue can accommodate. You’ll need to consider the size of your guest list and the space needed for your ceremony and reception. Make sure to ask about the maximum capacity of the venue and whether that capacity includes space for the dance floor, bar, and other important elements of your wedding.

What is included in the rental fee?

Wedding venues can have a wide range of rental fees and inclusions, so it’s important to understand exactly what is included in the fee. Ask the venue about what’s included in the rental fee, such as tables, chairs, linens, lighting, and sound equipment. Additionally, ask about any additional fees, such as corkage fees or service charges.

Can we bring in outside vendors?

Some venues may have restrictions on outside vendors, while others may require that you use their in-house vendors. It’s important to understand the venue’s policies on outside vendors, including caterers, florists, and photographers. If you have specific vendors in mind, make sure to confirm that they are allowed to work at the venue.

What is the backup plan for inclement weather?

Make sure to ask about the venue’s noise policy and whether it will impact your plans for the reception.

What is the deposit and cancellation policy?

Additionally, ask about the cancellation policy, including whether there is a deadline for cancellations and whether there are any penalties for canceling.

Can we see the venue set up for a wedding?

If possible, try to schedule a visit to the venue when it’s set up for a wedding. This will give you a better sense of how the space will look and feel on your wedding day. Ask the venue if they can provide you with photos or videos

Additionally, ask about any restrictions on the type of alcohol allowed, and whether the venue provides bartenders.

What is the venue’s accessibility?

Ask the venue about accessibility options for guests with disabilities, such as wheelchair ramps or handicap parking spaces. Additionally, find out if there are any stairs or other obstacles that may be difficult for guests to navigate.

What is the venue’s policy on photography and videography?

Capturing memories of your wedding day is important, so it’s important to understand the venue’s policies on photography and videography. Ask whether there are any restrictions on where you’re allowed to take photos or whether there are any extra fees for professional photography or videography.
